How to reorganize and improve the eDiscovery process in Office 365? – New Features

15 May 2017 | Sajin Sahadevan

To meet business, legal and regulatory compliance challenges, companies worldwide need to protect and keep easy-to-find, relevant information. Manually sifting through billions of files to find the correct documents is not just time consuming, it’s expensive and it shouldn’t be a choice for modern companies.

Microsoft knows how important and difficult compliance can be. Their legal department relies on the eDiscovery features of O365 to enhance usefulness and accuracy of discovery results.

The good news is that Microsoft has come up with 3 latest eDiscovery features in O365. They are:

  1. Optical Character Recognition
  2. Unified Case Management
  3. Rights Management System

These new features will help you to enhance the existing eDiscovery features in Office 365.

Want to know more about them? Keep reading:

#1: Optical Character Recognition

Office 365’s search capability is good enough for an intranet portal, but there are cases where most of the content doesn’t have associated text, so it can’t be indexed and searched. In most of the eDiscovery cases, the unindexed data are in image files.

Microsoft has come out with a solution where the Advanced eDiscovery feature will extract the text from image files or objects that are within the documents. Optical Character Recognition is supported for email attachments, loose, and embedded image files. It gives machine-learning process much deeper understanding of files by including text taken from image files too. Sounds interesting, doesn’t it? No more manual interventions are needed for analyzing image files.

#2: Unified Case Management

This feature helps to streamline eDiscovery case definitions and remove many steps in the process, which eventually helps in reducing possible human errors. As you see in the image below, there is an Advanced eDiscovery tab where the case information from eDiscovery flows easily into this tab for further analysis. So you don’t need to create separate cases in Advanced eDiscovery.

#3: Rights Management System Decryption

We already have the ability to search for RMS encrypted content in Office 365 eDiscovery feature. With the latest update, you will be able to export and view the RMS encrypted content easily. This process is easy because the RMS encrypted email messages gets decrypted automatically during the export time while choosing the MSG Export option.

How to get started?

To start experiencing these features, all you need is to go to Search and Investigation in the Security and Compliance Center of your Office 365 tenant.

These features will enhance the document management and search capabilities of Dock Intranet Portal, making every user’s life easier. If you are experiencing any difficulties in accessing these features, do not hesitate to reach out to us!
